Administrative Policies

The El Dorado City Commission promotes the use of the Civic Center for any and all events.
| Policy
Guidelines 1. Individuals or groups may make reservations at the Chamber of Commerce office and must assume responsibility for payment. Checks should be made to the El Dorado Civic Center. Reservations are confirmed at the time the reservation form is completed and the appropriate deposit is received. |
| 2. The City Manager must approve all events at which alcoholic beverages will be served. The City Manager has the authority to make special regulations for any such event, which may be more restrictive than those included in the original contract. |
| 3. Any caterer charging a fee for alcoholic or malt beverages must be licensed with the State of Kansas and approved by the City Manager. |
| 4. The party reserving the facility will be responsible for providing adequate supervision for the dispensing and serving of alcoholic beverages to guests attending the event. |

5. All guests attending an event serving alcoholic beverages must be 21 years of age except:

| 6. A $100.00 deposit fee will be assessed upon reserving the facility due two weeks prior to the event. |
| 7. A usage fee of $1.00 per person will be assessed when food is served. A fee of $1.25 per person will be assessed when food and alcohol are served. |
| 8. Cancellation Policy: The rental fee and deposit will be refunded in full if reservations are cancelled at least fourteen days before the event. Only the rental fee will be refunded if cancellation is received less than fourteen days before the event. |
| 9. The party reserving the facility will provide the number of guests and the set-up information to the Chamber of Commerce staff two weeks prior to the event date. Equipment available for use includes chairs, tables, 15'X15' dance floor, stage, audio-visual equipment and public address system. The Civic Center will be responsible for room set-up. |
| 10. The Civic Center will be responsible for cleanup. The renter is responsible for trash removal after the event. The Civic Center is not responsible for items left after an event. The facility should be vacated by 1:00am following the event. |
| 11. The City Manager has the authority to deviate from the administrative policy. |
| 12. Any violation of the policy will result in the immediate termination of the event. |
| 13. No staples, pins, nails or tape, except for blue painters tape, are allowed on the walls. Glitter, confetti, hay and straw are not allowed to be used for decorating within the facility. |
| 14. Parties reserving the facility for multiple days are entitled to check out a key. A valid credit card is required. |

| In addition, a usage fee of $1.00 per person will be assessed if food is served, $1.25 per person if food and alcohol are served. The number served will be determined by the number of chairs requested on the set-up form. |
